A well‑formatted PDF makes you look professional and ensures your message is taken seriously. Whether you’re sending a resume, a report, or an invoice, these five tips will elevate your documents.

1. Choose the Right Font Size

For body text, 11–12 points is ideal. Headings can be 14–16 points. Avoid going below 10 points – it becomes hard to read on screens. Our Text to PDF tool lets you select font size easily.

2. Set Proper Margins

Standard margins are 1 inch (25.4 mm) on all sides. For digital documents, 20 mm top and bottom with 15–20 mm left and right works well. This gives the text breathing room and looks clean.

3. Use A4 or Letter Consistently

A4 (210 × 297 mm) is standard worldwide except in the US and Canada, where Letter (8.5 × 11 inches) is common. Choose the page size your audience expects. Our tool supports both.

4. Break Text into Paragraphs

Wall of text is intimidating. Use line breaks to separate paragraphs. Aim for 3–5 sentences per paragraph. Short paragraphs are easier to scan.

5. Test on Multiple Devices

Before sharing, open your PDF on a phone, tablet, and computer. Check that margins are not cutting off text and font size is comfortable. Adjust and regenerate if needed.
